EzeScan Invoice Data Capture (IDC) module

EzeScan has been providing advanced document batch scanning, forms processing and data capture solutions to its clients since 2002. EzeScan delivers substantial operational efficiencies by reducing document handling and manual data entry of many paper based business workflows for accounts payable invoice processing. Customers usually want to capture two distinct types of invoice information.

1. Invoice header and footer information (e.g. Supplier Company Name, Invoice Date, Invoice Number, Invoice Total Amount)

2. Line Items row information like Quantity, Code, Description, Amount.

Traditionally this data capture would have been achieved by configuring a customised template for each Suppliers invoice, so that the program would know exactly where on each invoice each piece of Header/Footer and Line Items data would be found on the page. Whilst this approach is okay when you have only a small number of suppliers, it quickly becomes unmanageable when you have 100’s or 1000’s of suppliers, and suppliers change their layouts without giving you any notice of those changes.

So we’ve taken a different approach. We call it ‘Smart Templates’ and what it means that is the we create one Smart Template in EzeScan to handle all of those different Supplier Invoice layouts. As a result it’s so much easier to administer.

Our Smart Template technology has been implemented in our DISCOVERY module (which reads Invoice Header & Footer information). It has also been added to our LINES modules (which reads Invoice Line Item rows as shown in the screenshot below).

Invoice data may also be validated against other systems using EzeScans built in ODBC connector.
Documents and invoice data can be used to upload documents into EDRM systems (e.g. SharePoint).
Invoice header & footer data, and line item row data can be outputted to CSV or XML file for loading into othersystems.
